This Privacy Policy explains how NEROVIA DIGITAL LTD ("we", "us" or "our") handles personal data when you use Botalker at www.botalker.com. We are the controller of personal data processed for the purposes described here.

Information we process

• Account information: Google sign-in credentials used for authentication, and profile details such as your name, email address and profile image.
• Conversations: the messages you submit, AI responses, selected AI roles, conversation identifiers and chat history associated with your account.
• Website and device information: IP address, browser and device details, pages visited, interactions and technical information generated when you access the website.
• Browser storage: authentication and account state, and preferences such as your selected theme, stored using cookies or local storage.
• Communications: your email address and the information you send when you contact us.

You choose what to include in a conversation. Do not submit passwords, payment details, sensitive personal information or another person's private information without a lawful basis. Signing out or clearing browser storage does not delete account data or conversations held on our servers.

Why we use information

We use account and conversation data to authenticate you, generate AI responses and provide chat history. These activities support performance of our contract with you. Account information and messages needed to provide a feature are necessary for that feature to work.

We process technical data to operate and secure the service, diagnose problems and prevent misuse, based on our legitimate interests in maintaining a reliable service. We use correspondence to answer requests, and process information where necessary to meet legal obligations. Where consent is required for optional processing, consent is the applicable legal basis.

Cookies, local storage and analytics

Botalker uses browser storage to remember account state and appearance preferences. Google sign-in also involves Google's authentication services. The website loads Google Analytics to measure visits and usage. Analytics can involve cookies, online identifiers, device information and interaction data.

You can manage cookies and local storage in your browser, although blocking necessary storage may affect sign-in or preferences. Google provides an Analytics opt-out browser add-on. Google's own processing is explained in its Privacy Policy. Agreeing to our Terms of Use does not itself give consent to optional analytics.

Who receives information

Providing Botalker involves authentication, hosting, API, AI processing and analytics services. Relevant information is sent to those services to perform their respective functions; in particular, generating an answer requires processing the conversation input. Google receives information when you use Google sign-in or when Google Analytics runs.

Information may also be disclosed where required by law or necessary to address fraud, security incidents or legal claims. Contact us if you need details about the AI services involved in processing your conversations or their data-use practices before submitting information.

International processing

Service providers may process information outside your country, including outside the European Economic Area. Transfers subject to the GDPR require an applicable legal transfer mechanism, such as an adequacy decision or appropriate safeguards. You can contact us for information about the destinations and safeguards applicable to your data.

Retention and security

Retention is determined by the purpose of processing, the need to provide account and conversation features, and applicable legal obligations or the handling of disputes and security incidents. Contact us to ask about the retention applicable to your account or to request deletion. Removing data from your browser alone does not remove server records.

No online service or transmission method is completely secure. Protect your Google account and use care when deciding what to include in conversations.

Your rights

Depending on applicable law, you may request access to, correction of or deletion of your personal data, restriction of processing, and a portable copy of eligible data. You may also object to processing based on legitimate interests and withdraw consent for processing that relies on consent. Withdrawal does not affect the lawfulness of earlier processing.

Send requests to [email protected]. We may need information to verify your identity and locate your records. Under the GDPR, requests are normally answered within one month; permitted extensions and exceptions may apply. You may complain to your local supervisory authority or the Cyprus Commissioner for Personal Data Protection.

Children

Botalker is not directed at children. If you believe a child has provided personal data without any consent required by law, contact us so that we can investigate and address the request.

Changes and contact

We may update this policy as the service or applicable requirements change. The date above identifies the latest version. Material changes will be brought to your attention where required by law.
